    Note: HydroPoint previously used Cognito Forms for SAR and Wet Check documentation. The Site Assessment Report / SAR Form is completed in Cognito. The Wet Check Survey associated with this Scope of Work is completed in SiteManager unless otherwise directed by the HydroPoint Project Manager.


    1. Project Overview and Objectives

    The objective of this project is to provide the CUSTOMER with a detailed report of the current inventory and status of the irrigation system and related accessories at each CUSTOMER location. The result of this will be in the format of a Site Assessment Report (SAR). HydroPoint will provide the SAR directly to the CUSTOMER and will also use the information gathered to identify and prioritize opportunities to propose WeatherTRAK controller installations and services. HydroPoint will also quote the cost of identified repairs to be completed by either the CUSTOMER’s contracted agent, or by a HydroPoint Professional Services contractor.

    Basic Summary

    2. Complete a site wetcheck using Site Manager to document site details. 

    2. Scope of Work

    2.1 Site Assessment

    The CONTRACTOR shall access the SAR Form by clicking here. The form can be accessed alternatively by going to  www.hydropoint.com/psforms on their mobile device. Click Site Assessment Report (SAR) to open the SAR Form.

    Be sure to complete the SAR Form in Cognito and complete the associated Wet Check Survey in SiteManager.

    The CONTRACTOR shall thoroughly document each irrigation point of connection (POC – water meter and backflow device) and controller found on each site by completing all required fields in the SAR Form.

    The CONTRACTOR shall take clear and usable photos of equipment, irrigation elements, and observed site conditions where required. When adding notes and descriptions, the CONTRACTOR shall use clear language that is understandable by non-irrigation personnel.

    2.2 Wet Check Survey

    This Scope of Work also includes a Wet Check Survey for each controller. The CONTRACTOR shall access the Wet Check Survey by clicking here. It can be accessed alternatively by going to www.hydropoint.com/psforms on their mobile device, and selecting Station Inspection Report (Wet Check) to open the Wet Check Survey.

    The CONTRACTOR shall navigate to the applicable Account, Site, and Wet Check Survey. 

    • Select New Survey, and select System Inspection as Survey Type 

    The CONTRACTOR shall run each station connected to a controller, and any battery-operated stations incidentally discovered, for an adequate time to count heads per station, document sprinkler types and plant types, and document any damage or repairs required for optimal performance.

    The CONTRACTOR shall document the status of each station in the Wet Check Survey in SiteManager. The CONTRACTOR shall also add notes and photos for any visible issues found during the survey, including electrical issues, power supply issues, mainline breaks, lateral breaks, damaged heads, coverage issues, or other observed deficiencies.

    2.3 Site Assessment and Wet Check Task List

    • Check in with the store manager, site manager or other specified check-in process
    • Access and complete the applicable SAR Form in Cognito
    • Document each irrigation point of connection, controller, and applicable irrigation asset in the SAR Form
    • Access and complete the applicable Wet Check Survey in SiteManager
      • Pressurize the irrigation system as required to operate stations

      • Perform a system-wide inspection, operating the irrigation system station-by-station

      • Observe and document station performance, coverage, and visible deficiencies

      • Record all findings directly in the applicable Wet Check Survey within SiteManager

      • Photograph all identified deficiencies and upload photos within the survey

    •  Do the same for any discovered battery-operated valves
      • It is not a requirement to locate battery-operated valves. However, if they are discovered, they must be documented as described above
    • Verify all required SAR Form and Wet Check Survey fields are complete before submission
    • Submit the completed SAR Form in Cognito
    • Submit the completed Wet Check Survey in SiteManager.
    • Check out with the store manager, site manager, or other specified check-out process

    3. Project Administration

    3.1 Work Orders

    After this scope of work has been signed and accepted by the CONTRACTOR, and prior to the project starting, the Project Manager will issue a work order for each site to be assessed by the CONTRACTOR.   The work order shall include specifics for each site, including the number and locations of each site to be assessed, specific timing requirements, and pricing specifics.   

    Any adjustments to the scope of work to be performed, whether initiated by HydroPoint or as a result of site conditions discovered before or during the site assessment, must include an amended or additional work order, as determined by the Project Manager. All adjustments to the scope shall be communicated in writing.  


    3.2 Pricing

    Pricing for this project will be based on the pricing schedule included with the Work Order. Any expense above or beyond the pricing detail in the Work Order must have a request submitted to and approved by the Project Manager.


    3.3 Invoicing

    Invoices should be sent to apbilling@hydropoint.com; copying the Project Manager. Invoice approval is subject to verification of work completed and HydroPoint’s receipt of a valid, fully submitted SAR Form in Cognito and associated Wet Check Survey in SiteManager. Payment terms are NET 30 from date of invoice approval. 

    Invoices must reference the work order for each site when submitted to HydroPoint for payment. Invoices will not be paid unless a work order is referenced for each site on the invoice. Example Invoice:

    In the example invoice above, the yellow highlighted sections reflect the important elements that need to be provided on each invoice.  These include:

    • HydroPoint work order number
    • Job/project name
    • Dates of the field work
    • Activity - Line item breakout including quantities
    • Comments and Notes

    Invoices must be submitted within three (3) business days after the conclusion of the project. The CONTRACTOR may opt to submit invoices before a total project is complete, as sites within the project are completed.

    5. Schedule Changes

    The CONTRACTOR shall notify the HydroPoint Project Manager as soon as a schedule change is identified.

    This includes any change to planned field work timing, including early arrivals, rescheduling, or delays caused by weather, traffic, staffing, or personal issues. Timely communication is required so HydroPoint may notify the Customer as needed.


    6. Code of Conduct and Safety Standards

    While on site, the CONTRACTOR is representing HydroPoint as a Certified Service Provider and is expected to maintain professional conduct at all times.

    The CONTRACTOR shall:

    • Dress appropriately and maintain professional behavior.

    • Keep work areas tidy and organized.

    • Refrain from radios, inappropriate language, spitting, or offensive clothing.

    • Interact respectfully with customers, tenants, and site personnel.

    • Avoid negative commentary regarding system condition or prior maintenance.

    If unsafe or non-code-compliant conditions are discovered, the CONTRACTOR shall:

    • Notify the site manager immediately.

    • Record the condition, the individual notified, and relevant details within the Wet Check Survey in SiteManager.

    • Escalate unsafe conditions to the HydroPoint Project Support Team upon discovery.

    As applicable, the CONTRACTOR shall use safety cones to mark work areas and prevent public access. The CONTRACTOR shall avoid creating trip hazards and ensure all debris and trash are removed and disposed of properly before leaving the site.

    The CONTRACTOR shall ensure all employees or subcontractors working under their direction comply with this Code of Conduct and any applicable Customer Safety Standards.


    7. Deliverables

    The CONTRACTOR shall provide the following deliverables for each assigned Work Order site:

    • A completed and submitted SAR Form in Cognito.

    • A completed and submitted Wet Check Survey in SiteManager for each applicable controller.

    • Documentation of each irrigation point of connection, controller, and applicable irrigation asset.

    • Station naming completed as required.

    • Station location and asset mapping completed as required.

    • Station-level documentation, including sprinkler type, plant type, head count, and observed deficiencies.

    • Documentation of required and recommended repairs.

    • Photographs documenting all identified deficiencies.

    • Any additional notes, photos, or supporting information requested by HydroPoint.
